Optimized invoice flow at Bertel O. Steen

When Bertel O. Steen saw the need to optimize their Accounts Payable process, they turned to Logiq.

Bertel O.Steen is one of the Nordic region's largest companies in sales and service for passenger cars, vans, trucks, and buses. As part of their business, they handle a significant volume of commercial documents, including documents related to innovative services like car sharing and online leasing.

The company recognized the need to optimize their digital invoice flow in order to streamline their Accounts Payable processes. A well-known problem was that the references in received invoices could be missing or misplaced in the electronic documents. This data quality issue led to additional manual work to process the invoices.

"To ensure that the invoice directly reaches the correct recipient, we rely on a reference that is unique to the individual company," said Ingunn Amundsen, Director of the Payroll and Accounting Competence Center at Bertel O.Steen.

The solution– Logiq Document Control

The company contacted Logiq, seeking solutions to improve the data quality. Logiq implemented the service Document Control, a service designed to analyze the electronic documents based on the business rules of the recipient. The service then identifies any discrepancies, searches for potential references across the document – and if found relocates the reference to the correct positions. In cases where references are missing,a fixed reference is assigned for reception.

Previously, these tasks were performed manually. With Logiq Document Control, Bertel O. Steen have automated the process of handling incoming invoices with incorrect or missing references. This automation has significantly improved the efficiency of their document processing.

While the company still has some manual document handling for inbound invoices, they are gradually transitioning to an automated and electronic invoice flow.

“We continually strive to increase the degree of electronic invoices within the group," says Amundsen.

Bertel O.Steen now experience a more efficient invoice flow and reduced manual handling—from the moment the invoice is received until it reaches the correct recipient. Logiq Document Control has helped reallocate resources to other tasks, enhancing overall productivity.
